Corporate Event Photography and Video in Munich: How to Plan Both for the Same Day

Corporate event photography planning brings seven preparation decisions together: the purpose of the images, photo and video coverage, cameras, the schedule, technical requirements, image permissions and budget. This guide helps you brief your production team for one coordinated event day.

The date is set, the venue is booked, the programme is roughly in place – and then someone notices that nobody has thought about photography yet. Or worse: there are photos, but the managing director does not appear in a single one, and the award ceremony is missing entirely.

Good event photos are not a matter of luck. They are a matter of half an hour of preparation. This guide shows you what to clarify before a corporate or staff event – and when it makes sense to add video.

Corporate event photography planning: start with the purpose

This single question determines almost everything else. Photos for an internal review need something different from images for a careers page.

  • Internal communication: atmosphere, groups, conversations, many faces. Breadth matters here.
  • Website and careers page: a few very good images with room for text. Landscape format, uncluttered background.
  • Press and partners: stage, speakers, awards, handshakes, logo in frame. If you also need clean portraits of your speakers while everyone is there, say so in advance – it can be done during a break in the programme, see business photos.
  • Social media: short formats, vertical, fast delivery – ideally one image on the evening itself.
  • Archive and annual review: completeness. Every item on the programme documented at least once.

Practical tip: Write down your three most important use cases and send them with your enquiry. That is the most useful briefing there is – more useful than any description of style.

Photo, video – or both?

Photo and video solve different problems. Photos are fast, versatile and can be reused for years in presentations, newsletters and on your website. Video carries atmosphere, voices and movement – and is often the stronger format for social media and corporate videos.

At PM STUDIOS you get both from one team, without coordinating two suppliers. For corporate and staff events we cover the day on request with event photography and a simultaneous video production using up to five cameras. The scope and price of this combined production are agreed individually – for that we need your programme, the venue and the intended use.

If you are unsure, this rule of thumb helps: Are there speeches, performances or moments you need to hear in order to understand them? Then video. Is it about people, atmosphere and reusable material? Then photography is the more efficient choice.

How many cameras does your event need?

The number of cameras depends on the programme, venue, desired coverage and budget. We agree the setup with you in advance.

  • One camera is enough for a clearly structured schedule with one main location – for example a speech followed by a get-together.
  • Two to three cameras make sense as soon as a stage runs continuously: a wide shot, a close-up of the speaker, plus one mobile camera for audience reactions. That makes it possible to edit later without visible jumps.
  • Up to five cameras pay off for award ceremonies, panel discussions and programmes that cannot be repeated. Any perspective you did not record on the night is missing from the edit forever.

The number of photographers depends on simultaneous activities and the venue as well as guest numbers. For a main stage plus a separate reception, a second photographer may be useful.

The run-of-show is the most important file of the day

Corporate event photography planning needs one shared schedule. Give the organiser, photographer, video crew and stage technicians the same current version, with contact details for whoever can approve changes.

Four points to agree on before the event.

Send us the schedule with times – even if it is not final yet. Mark up:

  • Must-have moments: welcome, awards, handovers, group photo, cutting the cake, the band starting.
  • Nice-to-have moments: networking breaks, buffet, decoration, sponsor walls.
  • No-go zones: areas or people that should not be photographed.
  • Names and roles of the people who definitely need to be in the pictures – with a photo if possible. Nobody recognises the new division head in a room with 200 people.

Pro tip: Schedule the group photo early in the evening and announce it. That makes it easier to include everyone before people leave or move to different areas.

Light, venue – and the question of sound

Event venues are rarely built for cameras. That is manageable if we know about it beforehand.

  • Dark rooms, candlelight, coloured spots: tell us in advance. We bring suitable equipment for difficult lighting situations.
  • Show us the venue beforehand: a few phone photos of the rooms are completely sufficient. They let us assess lighting, routes and space requirements.
  • Stage and lectern: who stands where? Is there a backlight spot that swallows every face?
  • Sound for video: for speeches we recommend a lavalier microphone or a feed from the in-house audio system. Room sound alone makes 200 guests sound like 200 guests – not like the speech.
  • Set-up and take-down: if we install equipment, we need access before the official start. The budget section lists the charge.

Rights to images of your employees

As the organiser, clarify before the event which images may be captured and how your company intends to use them. Arrange the necessary information for attendees and, where needed, consent from the people depicted, with support from your data protection or legal adviser if required. Give us the agreed instructions for the photo and video team.

  • Explain the planned uses, such as intranet, careers page or social media.
  • Inform attendees before and at the event. A sign alone does not replace any consent or other legal basis that may be needed.
  • Give the photo and video team clear instructions about people or areas that must not be recorded.
  • Agree how requests and objections will be handled.

We follow the rules agreed for your event. Send them with the brief so they can be included in the production plan. For further guidance on photography and events, see the Bavarian data protection authority’s FAQ (in German).

Planning time and budget realistically

Event photography at PM STUDIOS comes in three packages:

PackageTime on locationPrice
Package 12 hours998 €
Package 24 hours1,299 €
Package 38 hours1,998 €

Depending on your needs, the following are added: additional hours at 199 € per hour, travel at 3.50 € per kilometre one way, set-up and take-down at a flat 99 €. All prices stated are plus 19 % VAT.

For video and combined photo/video coverage, we agree the number of cameras, sound, editing and delivery individually. Request a quote for your planned event.

How much time do you really need? Plan around the programme, not the length of the party. An evening with a reception from 6 p.m., speeches from 7 p.m., an award at 8 p.m. and a band from 9 p.m. is well covered by four hours. If the party atmosphere matters to your team, include time for it in the brief.

After the event: selection, editing, delivery

  • Image selection: you receive all shots in a password-protected online gallery and pick your favourites for final editing.
  • Quantity: expect roughly 50 to 100 usable images per hour of event time. You receive all images without watermarks.
  • Editing: colour and brightness optimisation is included. Image editing usually takes 5 to 10 working days; for urgent projects, tell us in advance.
  • Formats: you receive the images as high-resolution files suitable for the agreed use and, on request, additionally optimised for the web and social media.
  • Delivery: online or on USB.

Tip for social media: if you want to post on the evening of the event, say so beforehand. Then a small selection can be edited and handed over early instead of being hunted down afterwards.

Common mistakes – and how to avoid them

  • No run-of-show: without times, nobody knows when the award ceremony happens. A photo that was not taken in that moment cannot be re-staged.
  • No contact person on site: without someone who knows the names, we photograph the wrong people very professionally.
  • Video decided too late: multi-camera setups need lead time for equipment, sound and positions. One week ahead is tight.
  • Unclear purpose: if you only realise after the event that you need vertical formats for Instagram, you are left with 400 landscape images.
  • Forgotten consent: see above. Clarify the requirements before the event.
